At Eventrentals.lk, we believe your event planning should be stress-free. We are committed to Price Transparency, ensuring that the investment you plan for is the investment you make.

The “No Surprises” Guarantee

Unlike traditional rental services, our pricing model is straightforward and honest. The price you see on our digital catalog is the base price for the product—period.

Our total quote consists of only three clear components:

  1. Fixed Rental Rate: The cost per item as listed on our website.

  2. Transportation & Handling: A calculated fee based on your venue location and the volume of items. In most cases, this is a fixed rate provided at the time of inquiry.

  3. Refundable Security Deposit: A standard deposit to ensure the care of our products. This is returned to you in full following the safe and timely return of all items.

Why Transparency Matters

  • No Hidden Surcharges: We do not add “last-minute” service fees or surprise event taxes.

  • Budget Accuracy: Our upfront pricing allows you to build your mood board and your budget simultaneously.

  • Price Lock: Once your booking is confirmed with a deposit, your rates are protected against any future price increases.

Transport, Delivery, Pick-Up, Drop-Off's

At Eventrentals.lk, we aim to make the delivery and collection process as seamless as possible. To ensure a smooth experience for your event, please take note of our transport guidelines:

1. Delivery Zones & Accessibility

  • Service Areas: We currently offer delivery to Colombo 1–15 and select suburbs. Please refer to the transport options on the Cart page for specific availability.

  • Access Requirements: To maintain the safety of our team and the integrity of our products, we do not undertake orders requiring the manual carrying of items up flights of stairs.

  • Elevator Access: For apartments, rooftops, or multi-story venues, an adequately sized service elevator must be available to accommodate the dimensions of your order.

2. Transport Pricing & Capacity

  • Standard Capacity: The transport price quoted in your cart covers a single delivery/pickup using one standard truck bed (8ft L x 5ft W x 5ft H).

  • Custom Quotes: For larger orders or heavy items (e.g., furniture, marquees, bars), custom transport pricing will apply. We will always finalize and inform you of these costs before confirming your order.

  • Estimates: For unconfirmed orders, transport and labor costs are estimates. Any subsequent changes to your order items will require a reassessment of transport logistics and fees.

3. Timings & Late-Night Collections

  • Late-Night/Early-Morning Pickups: Collections from hotels or venues during off-hours are subject to a Convenience Fee and are only available upon prior confirmation by Eventrentals.lk.

  • Security: It is the client’s responsibility to ensure all rented products are stored in a safe, secure, and weather-protected area while awaiting pickup.

4. Self-Pickup & Returns

  • Return Window: Self-pickup orders must be returned within a 24-hour period.

  • Drop-off Hours: We do not accept returns after 5:00 PM.

  • Sundays & Holidays: For returns on Sundays or Public Holidays, please coordinate with us in advance. We are happy to be flexible, but we require prior notice to ensure staff are available to receive and inspect your returns promptly.

Ordering, Advance Payments and Confirmation

To ensure your preferred items are reserved exclusively for your date, Eventrentals.lk follows a structured confirmation process.

1. Securing Your Booking

  • Advance Payment: A 50% non-refundable advance payment is required to secure your booking and lock in your items.

  • The 14-Day Window: Clients have 14 days from the date the quote is issued to make this payment. If the advance is not received within this period, the items will be released back into our inventory for other bookings.

2. Finalizing Your Payment

  • Balance Payment: The remaining balance is due 7 days prior to your event date.

  • Confirmation Status: An order is only deemed “Confirmed” once the full payment has been received and cleared by our bank.

  • Full Settlement: All invoices must be settled in full before the event date or delivery. Items will not be dispatched if there is an outstanding balance.

  • Last-Minute Bookings: For orders placed within 14 days of the event date, the total invoice amount must be paid in full at the time of booking to ensure immediate confirmation.

  • Rush Orders & Last-Minute Bookings: At Eventrentals.lk, we do our best to  accommodate rush orders. We understand that emergencies happen, and have often been able to step in to solve last minute emergencies.

    Definitions & Acceptance

    • The 24-Hour Window: Any order placed less than 24 hours prior to the required delivery or pickup time is classified as a “Rush Order.”

    • Capacity Check: Acceptance of rush orders is strictly subject to real-time inventory availability and our team’s logistical bandwidth. We will only confirm a rush order if we can guarantee our usual standard of excellence.

    Rush Order Fees & Payment

    • Convenience Fee: Due to the immediate reallocation of labor, expedited cleaning cycles, and urgent transport scheduling, Rush Orders will incur an additional convenience fee.

    • Immediate Settlement: To facilitate a rapid turnaround, 100% of the invoice amount (including the rush fee and security deposit) must be paid and cleared before the order is dispatched.

Security Deposit

A security deposit is calculated at the discretion of EventRentals.lk (The Kairos Store). The security deposit will be used in the case of items that are damaged or lost. The hirer is responsible to protect all items from the elements, including but not limited to rain, high winds, sun damage, and keep the items secure during the hire period. The hirer must use the items for the purpose and capacity that they were designed. Security deposit refunds will be made within 7 days of the return date of the items, less any repair/replacement charges and late fees. Deposit will be returned via bank transfer only.

A refundable / security deposit will be charged on all orders. The amount will vary depending on order value and breakables.
When a product has been added to the cart, the security deposit will automatically get calculated based on the cart value.

Upon returning items, where there are no damages/breakages, the deposit will be returned in full. The replacement cost of any damages will be deducted from the deposit and the balance returned.

We charge only a fraction of the value of the products as a security deposit and therefore request our customers to be careful, when using the products. However we do understand accidents can happen in the normal course of events. If the total value of damages exceeds the value of the deposit, we kindly ask our esteemed customers to settle the balance when returning the items.

The deposit will be returned on the same day or next working day once returned. All deposits will be returned to a bank account specified by the client.

Please note once products are accepted either on delivery or when you pick up the item, please ensure you check the products rented. Once in your posession, it is your responsibility to ensure the safety of the rented products from damage. Any damage to our products whilst in your posession will be the responsibility of the hirer/renter.

Hire Period

Hire period is for one day, unless specified otherwise. Items will be delivered and collected at agreed upon dates and times. If early delivery or next day pick up is required, additional charges will apply.

Cancellation

In the event of a booking cancellation, the advance payment is forfeited. This may be reversed in full or partially at the discretion of The Kairos Store.

Release and Indemnity

The hirer hereby indemnifies and holds indemnified the owner from and against all claims, actions, suits, demands and expenses in any way arising from injury, death, loss of income or damage caused to the hirer or its property, or any other third party or property, in concern to the items hired. The hirer accepts the above Hire Terms and acknowledges that its acceptance is a condition upon paying the deposit and taking possession of any hire items, or services rendered by EventRentals.lk (The Kairos Store).

 

Product Usage, Hygiene & Care

At Eventrentals.lk, we take pride in the pristine condition of our inventory. To ensure the highest standards of hygiene and quality for all our clients, the following rules apply:

  • Purpose-Specific Usage: Items designed for food and beverage consumption (e.g., glassware, cutlery, crockery) must strictly be used for that purpose only. Using drinkware for candles, floral arrangements involving heavy dyes, or any non-consumable purpose is strictly prohibited due to hygiene risks and the intensive sanitation process required.

  • Condition Upon Return: While we understand that events can be hectic, we expect products to be returned in the same condition they were received.

  • Responsibility & Liability: From the moment of handover until the items are returned to our team, the client assumes full responsibility for the care of the products.

  • Cleaning Fees: If items are returned with non-standard debris (e.g., candle wax, industrial adhesives, or permanent stains), an additional Specialized Cleaning Fee will be charged if the product can be salvaged.

Breakages, Damages, Lost Products

General Policy: We acknowledge that minor breakages can occur in the normal course of events. However, excessive damage, loss, or missing items resulting from negligence or lack of oversight will be billed at the full replacement cost.

Lost or Missing Items: The client is responsible for the total count of items handed over. Any items not returned—regardless of whether they were misplaced by guests, venue staff, or third-party planners—will be classified as “Lost” and charged at the full replacement value.

Linen Damage: Any linen returned with wax, burns, or unremovable stains will be classified as “Damaged” and charged at the full replacement value. Please ensure mirrors or base plates are used for all floral and candle decor.

Glassware & Crockery: Any physical damage—including chips, cracks, or complete breakages—will be charged at the Full Replacement Value.

Valuation of Replacements: > * Replacement value is calculated based on the current market value of a 1-to-1 match (same brand and specifications).

  • The client may choose to provide the identical physical product as a replacement.

  • If the specific product is unavailable in Sri Lanka, EventRentals.lk will determine a reasonable replacement value based on current import or procurement costs.
